Frappe Helpdesk vs Zendesk vs Freshdesk: open-source, self-hosted help desk vs per-agent SaaS
Short answer
Frappe Helpdesk is open-source help desk software licensed under AGPL-3.0. You can self-host it free, or run it on Frappe Cloud, where hosting is priced per site or server rather than per agent; Frappe's Helpdesk pricing page lists Frappe Cloud sites from $5 a month and says there are no limits on tickets, agents or customers (checked on Nov 1, 2026). Zendesk and Freshdesk are per-agent SaaS: Zendesk from $19 (Support Team) to $115 (Suite Professional) per agent per month billed annually, Freshdesk from $19 (Growth) to $89 (Enterprise), both checked on Nov 1, 2026. Choose Frappe Helpdesk when agent count is high or growing, budgets are tight, you already run ERPNext or other Frappe apps, or you need full control of data and code, and you have (or will pay for) technical capacity to run and extend it. Choose Zendesk when omnichannel depth, AI agents, a large app marketplace and enterprise scale matter more than licence cost. Choose Freshdesk when you want most of that SaaS convenience at a lower per-agent price and a simpler admin experience. The licence fee is the smallest part of the decision for small teams; for large teams it becomes the biggest.

Who this comparison is for
This guide is for support leaders and founders choosing a customer support help desk, typically with 5 to 100 agents, who are weighing an open-source tool against the two most common per-agent SaaS products. It is also for teams already running ERPNext or other Frappe apps who want to know whether Frappe Helpdesk is good enough to avoid buying a separate SaaS help desk.
In our work the question usually arrives in one of three ways. A finance lead notices that the help desk bill has grown in step with headcount and asks whether there is a cheaper model. An ERPNext customer asks why they are paying for a separate SaaS help desk when their ERP vendor ships one. Or a regulated business needs customer conversations stored on infrastructure it controls. Each of these is a legitimate reason to look at Frappe Helpdesk, and each has a different answer, which is why this guide separates licence cost, operational cost, features and licence obligations rather than giving a single winner.
Prices come only from vendor pricing pages, checked on Nov 1, 2026: the Frappe Helpdesk pricing page and Frappe Cloud pricing page for Frappe, the Zendesk pricing page and the Freshdesk pricing page. The licence is taken from the Frappe Helpdesk GitHub repository, which declares the GNU Affero General Public License v3.0. Opinions on fit, effort and risk are ours, from implementing and supporting help desks.
Two different business models
The core difference is not features, it is how you pay and who carries the operational burden.
| Frappe Helpdesk | Zendesk | Freshdesk | |
|---|---|---|---|
| Licence | Open source, AGPL-3.0 | Proprietary SaaS subscription | Proprietary SaaS subscription |
| Pricing unit | Hosting (site or server) on Frappe Cloud, or your own infrastructure if self-hosted | Per agent per month | Per agent per month |
| Agent limits | None on any plan, per Frappe's Helpdesk pricing FAQ | Pay per agent seat | Pay per agent seat |
| Self-hosting | Yes, free, using Frappe's installation scripts | No | No |
| Who runs it | You (self-hosted) or Frappe Cloud (managed hosting) | Zendesk | Freshworks |
| Product support | Frappe Cloud plans of $50 per month or more include product warranty support; partners for implementation | Digital support included; Premier plans as add-on | Freshworks support; check plan details |
With SaaS, cost scales with people. With Frappe Helpdesk, cost scales with infrastructure and with the engineering time to run and adapt it. Which is cheaper depends almost entirely on your agent count and on whether you already have that engineering capacity.

| Servers (Hetzner-based, per Helpdesk pricing page) | $20 per month onwards (₹1,800) | Shared or dedicated instances; best price-performance; limited uptime guarantees; incident support only |
| Servers (dedicated, per Helpdesk pricing page) | $60 per month onwards (₹5,400) | Stronger isolation and reliability; snapshots and autoscaling; product warranty |
| Self-hosted | Free (your own infrastructure and staff) | Companies with a tech team; AGPL-3.0 licensed |
Source: Frappe Helpdesk pricing page. The general Frappe Cloud pricing page showed servers from $40 per month (₹3,600) on the same day, so server entry prices differ between Frappe's two pages; check the current plan list in the Frappe Cloud dashboard before budgeting. Frappe's FAQ says plans of $50 per month or higher include product support (bug fixes, guidance and feature help) under its product warranty, and that Frappe Cloud's FAQ itself recommends AWS or OCI dedicated servers rather than Hetzner for mission-critical production.
Zendesk
| Zendesk plan | Annual billing (per agent/month) | Monthly billing (per agent/month) |
|---|---|---|
| Support Team | $19 | $25 |
| Suite Team | $55 | $69 |
| Suite Professional | $115 | $149 |
| Suite Enterprise + Copilot | Talk to sales | Talk to sales |

Freshdesk
| Freshdesk plan | Annual billing (per agent/month) | Notes from pricing page |
|---|---|---|
| Growth | $19 | Ticketing, shared inbox, portal and knowledge base, reporting |
| Pro | $55 | Adds multilingual help desk, custom dashboards, intelligent routing, multiple SLA policies |
| Enterprise | $89 | Adds skill-based routing, sandbox, audit logs, IP whitelisting |
Source: Freshdesk pricing page. Freddy AI Copilot is an add-on at $29 per agent per month on Pro and Enterprise. All plans include 500 Freddy AI Agent sessions once per account; extra sessions are $49 per 100. Day passes for occasional agents are listed at $2, $7 and $12 per pass by plan.
What the numbers look like at 10 and 25 agents
Arithmetic on the published list prices only: annual billing, no tax, no discounts, no add-ons, and no implementation. For Frappe we show the published hosting entry points; they are not a full cost.
| Option | 10 agents per year | 25 agents per year |
|---|---|---|
| Zendesk Support Team ($19) | $2,280 | $5,700 |
| Zendesk Suite Team ($55) | $6,600 | $16,500 |
| Zendesk Suite Professional ($115) | $13,800 | $34,500 |
| Freshdesk Growth ($19) | $2,280 | $5,700 |
| Freshdesk Pro ($55) | $6,600 | $16,500 |
| Freshdesk Enterprise ($89) | $10,680 | $26,700 |
| Frappe Cloud site from $5/month | $60 hosting | $60 hosting (agent count does not change the licence) |
| Frappe Cloud plan with product warranty ($50/month or higher) | $600 or more | $600 or more |
The Frappe line is not the whole cost
Hosting is cheap; people are not. Budget for setup, email and channel configuration, customisation, upgrades and someone who understands the Frappe framework. If you would need to hire or contract that capacity only for the help desk, the saving at 10 agents can disappear. At 50 or more agents, the per-agent SaaS bill usually makes the Frappe model worth a serious look.
Do your own version with your agent count, the SaaS plan you actually need (most teams that want SLAs and routing need Pro or Suite tiers, not the entry plan), the AI add-ons you would buy, and a realistic figure for internal or partner time on the Frappe side.
Feature depth compared
| Area | Frappe Helpdesk | Zendesk | Freshdesk |
|---|---|---|---|
| Ticketing and email | Yes | Yes | Yes |
| SLAs | Yes (Service Level Agreement feature) | Suite Professional and above per comparison table | Multiple SLA policies from Pro |
| Assignment and routing | Assignment rules | Omnichannel routing; skills-based from Suite Professional | Intelligent routing from Pro; skill-based in Enterprise |
| Customer self-service | Customer portal and knowledge base | Help center; multiple help centers on higher tiers | Customer portal and knowledge base |
| Messaging, chat, voice, social | Check current integrations list | Strong: messaging, live chat, voice, social on Suite plans | Available; channel depth varies by plan |
| AI agents and copilots | Not a headline feature on the pricing page | AI agents in every plan with resolution-based billing; Copilot add-on | Freddy AI Agent sessions; Copilot add-on |
| Marketplace and integrations | Integrations listed; Frappe framework for custom apps | Marketplace with 1,800+ apps listed on its site | Marketplace and connector apps |
| Customisation | Full source access; build on Frappe framework | Configuration, apps and APIs | Configuration, apps and APIs |
| Mobile | Progressive web app | Zendesk Support mobile app for iOS and Android | Check current mobile apps with Freshworks |
Frappe Helpdesk's feature areas above are those listed on Frappe's Helpdesk site: ticket management, SLAs, assignment rules, customer management, customer self-service, customisation and controls, insights and reporting, integrations and mobile access as a PWA. Zendesk and Freshdesk entries come from their pricing pages. Our view: Zendesk and Freshdesk are ahead on omnichannel, AI and marketplace breadth; Frappe Helpdesk is ahead on control, cost at scale and integration with the Frappe ecosystem.
Decision by team size
Agent count changes the answer more than any feature. This is how we would frame the default choice; adjust for your channels and technical capacity.
| Team size | Default choice | Reasoning |
|---|---|---|
| 1 to 5 agents, email-first | Freshdesk Growth or Zendesk Support Team | At this size the per-agent bill is small, and SaaS removes all operational work. Frappe only makes sense if you already run Frappe apps. |
| 5 to 20 agents, needs SLAs and routing | Freshdesk Pro, or Frappe Helpdesk if you run ERPNext | SLAs and routing push you to mid-tier SaaS plans; Frappe becomes attractive if you already have Frappe skills. |
| 20 to 50 agents | Evaluate all three seriously | The per-agent bill is now material. A proof of concept on Frappe Cloud is worth two weeks of effort. |
| 50+ agents, email and portal heavy | Frappe Helpdesk often wins on cost | Licence savings can fund a dedicated engineer or partner and still come out ahead. |
| Any size, heavy voice, messaging and AI agents | Zendesk | Omnichannel and AI depth outweigh licence cost. |
These defaults are our judgement, not vendor claims. Two factors can override them: data residency or self-hosting requirements, which point to Frappe, and an existing commitment to the Freshworks or Zendesk ecosystem, which points to staying put.
Running Frappe Helpdesk well
If you choose Frappe Helpdesk, most of the risk is operational. These are the practices we put in place for every Frappe deployment we run.
- Choose hosting by criticality. Frappe's own FAQ positions Hetzner-based servers for development, testing and non-critical production, and recommends dedicated AWS or OCI instances where uptime and durability are critical. For a customer-facing help desk, take that advice.
- Separate staging from production. Test upgrades and customisations on a staging site before production. Frappe Cloud lists multiple environments among its site features.
- Own backups and restores. Frappe Cloud lists automated and offsite backups; test a restore at least once before go-live, and if you self-host, build and test the equivalent yourself.
- Keep customisations in an app. Put changes in a custom Frappe app under version control rather than editing core code, which also keeps AGPL questions clearer and upgrades simpler.
- Plan the email layer. Support quality depends on reliable inbound and outbound email: configure the mailbox, SPF, DKIM and DMARC, and monitor bounces.
- Decide on product support. Frappe says plans of $50 per month or more include product warranty support for bug fixes; for functional help and custom work, use a Frappe partner or your own team.
None of this is unusual for running business software. It is simply work that Zendesk and Freshdesk do for you inside their subscription, and it belongs in your cost comparison.
What AGPL-3.0 means in practice
The AGPL-3.0 is a strong copyleft licence. Using Frappe Helpdesk unmodified, internally or with customers, is straightforward. The licence matters when you modify the software: AGPL-3.0 extends the GPL's source-sharing obligation to users who interact with the modified program over a network, which for a help desk includes your customers using the portal.
- If you only configure Frappe Helpdesk (fields, workflows, settings), you are not changing its source code.
- If you build a separate custom Frappe app alongside it, assess with your counsel whether and how AGPL obligations apply to that app.
- If you modify Helpdesk's own code and expose it to customers, plan to make the corresponding source available as the licence requires.
This is not legal advice. For most support teams it is not a blocker, but it should be a conscious decision, especially if your customisations contain proprietary business logic.
Best for, and wrong choice when
Frappe Helpdesk
Best for
Teams with many agents or fast-growing headcount where per-agent fees hurt; companies already on ERPNext, Frappe HR or Frappe CRM; organisations that need data and code control, self-hosting or data residency on infrastructure they choose; teams with in-house developers or a Frappe partner.
Wrong choice when
You have no technical capacity and no budget for a partner; you need mature AI agents, voice and messaging out of the box; you rely on a large marketplace of plug-in integrations; your legal team is uncomfortable with AGPL obligations for planned customisations.
Zendesk
Best for
Customer service teams that need deep omnichannel (messaging, voice, social), AI agents at scale, a large app ecosystem and enterprise governance features.
Wrong choice when
Cost per agent is the main constraint; you only need email ticketing and a portal; you need to self-host.
Freshdesk
Best for
Small and mid-sized support teams that want SaaS convenience, solid routing and SLAs, and AI options at a lower list price than Zendesk's Suite Professional.
Wrong choice when
You need to self-host or modify the source; your agent count is large enough that any per-agent fee dominates the budget.
Switching considerations
Moving from Zendesk or Freshdesk to Frappe Helpdesk is a data migration plus a workflow rebuild. Tickets, contacts, organisations and knowledge articles can usually be moved through APIs and imports; triggers, automations and macros have to be redesigned. If you are moving the other way, or between SaaS tools, see our Zendesk to Zoho Desk migration guide for a worked example of what vendor migration tools move and skip.
Before you commit to Frappe Helpdesk
- Run a two-week proof of concept on a Frappe Cloud trial site (Frappe offers a 14-day free trial).
- Connect your real support mailbox and test threading, attachments and SLAs.
- Decide hosting: shared site, dedicated server, or self-hosted, and who handles upgrades and backups.
- Choose a partner or name an internal owner for the Frappe framework.
- Review AGPL implications of the customisations you plan.
Before you renew Zendesk or Freshdesk
- Count active agents versus paid seats.
- List add-ons and AI usage you actually use.
- Price your current scope on the other SaaS vendor and on Frappe Cloud, including people.
- Check data export options and notice periods in your contract.
Frequently asked questions
Is Frappe Helpdesk free?
Yes, it is open source under AGPL-3.0 and free to self-host. If you want managed hosting, Frappe Cloud sites start from $5 per month according to Frappe's Helpdesk pricing page (checked on Nov 1, 2026). Implementation and administration are separate costs.
Does Frappe Helpdesk charge per agent?
No. Frappe's Helpdesk pricing FAQ says there are no limits on tickets, agents or customers on any plan, and you pay for hosting rather than per agent.
How much do Zendesk and Freshdesk cost per agent?
On Nov 1, 2026, Zendesk listed Support Team at $19, Suite Team at $55 and Suite Professional at $115 per agent per month billed annually. Freshdesk listed Growth at $19, Pro at $55 and Enterprise at $89 per agent per month billed annually.
What does AGPL-3.0 mean for a help desk?
You can use and configure it freely. If you modify the source and let users interact with the modified version over a network, the licence requires you to offer them the corresponding source code. Take legal advice for significant customisations.
Is Frappe Helpdesk good enough to replace Zendesk?
For email-centric support with SLAs, assignment rules and a customer portal, often yes, especially with many agents. For heavy omnichannel, voice and AI-agent use, Zendesk remains stronger.
Can I host Frappe Helpdesk in my own country or cloud?
Yes. Self-hosting lets you run it on any infrastructure you choose, and Frappe Cloud describes itself as a multi-cloud platform where you choose the provider and region. Confirm the regions available for your plan before you sign up.
Can Frappe Helpdesk work with ERPNext?
Yes. Both run on the Frappe framework, and Frappe Cloud sites can host multiple Frappe apps, which is a major reason ERPNext users choose it.
